Monthly Reports & Distributions

Every month you receive four reports: the Rental Owner Statement, Income Statement, Rent Roll, and Bank Reconciliation. This video explains what each report contains, how to read them, and when to expect your owner distribution. Reports are delivered on the same day distributions are issued.

1-4 unit properties: Reports and distributions issued between the 15th and 20th of each month.

5+ unit properties: Reports and distributions issued between the 1st and 5th.

EFT deposits arrive within 2-3 business days depending on your financial institution.

The most comprehensive monthly report, summarizing all income, expenses, total cash balance (including security deposits, prepayments, and property reserve), and the Available for Payment amount submitted for your owner draw.

A year-to-date view of income and expenses by month. The best tool for evaluating overall property performance. Use it to compare monthly income and expenses, identify trends in operating costs, and understand monthly profit and loss.

An overview of tenants and their individual ledgers. Review current tenant balances, security deposits, prepayments, and recurring charges such as rent and utilities.

Allows you to cross-reference financial reports with actual transactions in the owner operating account. Confirms how reported income and expenses align with bank activity during the reporting period.

Service Providers

Sagareus accounts on a cash basis, meaning income is recorded when received, not when earned. Management fees are a percentage of gross income received, so the timing of tenant payments causes month-to-month fluctuations. Over time, these balance out. Cross-reference your management fee using the Income Statement.

A set amount retained in the operating account as the minimum operating balance, typically equal to the Authorization Amount in your management agreement. Once established during the initial draw, it does not reduce future distributions. Allows Sagareus to pay approved expenses between rent cycles.

The dollar amount Sagareus is authorized to spend on your property without prior approval, as outlined in your management agreement. Recommended minimum is $2,000. The minimum allowable is $1,000. Used for emergency or last-resort repairs only. Sagareus always prioritizes cost control.

Sagareus uses utility pass-through billing. Utility bills are paid from the owner operating account and then fully recovered from the tenant during the next rent cycle. This ensures 100% recovery, monitors for abnormal usage, confirms utilities stay active, and reduces administrative errors from frequent account transfers.

Typically credit card processing or surcharge fees when a tenant pays rent by credit card. Since tenant payments deposit into the owner operating account, processing fees are recorded as an expense on that account. These do not impact your financial reports or statements.

Requests are submitted by residents via portal, email, or phone and processed within 24 hours. Emergencies are addressed immediately. Each property has preferred vendors based on owner preference, then our vetted vendor list. Repairs within the authorization amount proceed; anything above requires owner notification with options and recommendations.

Sagareus conducts a required annual inspection of each property. Scheduled based on the move-in date of the most recent lease. Includes visual review of interior condition, safety features, and exterior areas. Owners receive a detailed report with photos and recommendations. This inspection is mandatory and cannot be waived.

If a repair exceeds your authorization amount, Sagareus will notify you with a description of the issue, recommended solutions, vendor quotes, and options. You approve the scope and cost before work begins, except in true emergencies where delay would cause further damage.

Leasing & Tenant Screening

All applications undergo a full background check, credit history review, and manual income and rental history verification. Owners choose their criteria level:

  • Standard: 2.5x rent gross income, 650+ credit score (Recommended)
  • Strict: 3x rent, 650+ credit
  • Lenient: 2x rent, 650+ credit

Custom criteria available per owner preference.

No. Sagareus screens and approves applicants independently. Owners set the rental criteria in advance, and we apply those criteria consistently through a multi-level screening process. This policy is in place at the recommendation of our legal counsel to ensure Fair Housing compliance. Applications and supporting documents can be shared upon request for transparency.

Our objective is to lease all units within 30 days. Key variables include property condition, list price, pet policy, and screening criteria. We monitor showing activity, inquiry volume, and application trends, adjusting pricing and strategy in real time.

Property owners choose their own pet policy. Sagareus recommends: up to 2 pets, 30lb weight limit, $50/month pet rent. The final decision is yours, and we enforce your chosen policy. ESA/service animals are always accepted with documentation and are not subject to pet fees.

Seattle mandates that move-in costs be no more than one month rent. Seattle defines move-in costs as security deposit, application fees, and any other admin fees charged at move-in. Since Sagareus charges a $35/person application fee, we set the deposit $100 below rent to stay compliant. Last month rent can still be collected up front in every city except Tacoma.

Sagareus Policies

Management agreements are written with a 6-month initial term, then month-to-month thereafter. If terminated during the initial term, there is a $500 early termination fee. After six months, either party may terminate with 30 days written notice, no penalty.

Sagareus upholds a zero tolerance policy for discrimination in all aspects of leasing, management, and tenant relations. We strictly comply with Fair Housing laws. Any request from an owner that violates Fair Housing or puts Sagareus at legal risk will not be accommodated. Sagareus reserves the right to immediately terminate management agreements with owners who insist on discriminatory practices.

All properties must meet basic health, safety, and habitability standards at all times. Owners must approve and fund necessary repairs promptly. Deferred maintenance or patchwork solutions that compromise safety or habitability are not permitted. Sagareus reserves the right to decline management or terminate agreements with owners who refuse to maintain their property to minimum standards.

All listings are marketed with professional photography for quality and brand consistency. Owners are responsible for the actual cost, typically $200-$300 depending on vendor and property size. Sagareus does not profit from this policy. It exists to maximize exposure and minimize vacancy.

Selling or Off-Boarding

After the initial 6-month term, either party may terminate with 30 days written notice, no penalty. If during the initial term, a $500 early termination fee applies. We will coordinate tenant notification, key transfer, and account closeout to ensure a smooth transition.

We can coordinate with your listing agent on access, showings, and tenant communication during the sale process. If the property is tenant-occupied, we manage the transition to protect both your interests and the tenant's rights under their lease.

Yes. Management firms work together regularly to transfer portfolios. We can assist with the transition at any time. The ease of the process depends on the cooperation of the receiving firm. We provide all necessary documentation, keys, and account records.
