Property Management Agreement
The agreement begins with an initial 6-month term. If terminated by the owner during that period, there is a $500 early termination fee. After six months, the agreement transitions to month-to-month. Either party may terminate with 30 days written notice, no penalty.
The initial term ensures we have enough time to properly onboard the property, stabilize operations, and deliver results.
The onboarding fee covers the initial work to set up your owner account: configuring property and owner profiles in our software, establishing trust accounting and ACH distribution settings, coordinating utility account transitions, and verifying rental registration and compliance requirements.
This is a one-time fee per owner account, not per property. Additional properties added later do not require another onboarding fee.
Yes. Management firms work together often to transfer portfolios and services seamlessly. We can assist with the transition at any time. The ease of the process depends on the cooperation of the previous PM firm.
The authorization amount is the dollar threshold you agree to allow Sagareus to operate within for maintenance, repairs, and replacements. This allows the team to efficiently coordinate necessary work without requiring approval for every small repair.
The standard authorization amount is $1,000. Repairs above this amount require owner notification with options and recommendations.
Sagareus conducts a required annual inspection of each property under management to ensure proactive maintenance, verify lease compliance, and protect the long-term value of your investment.
- Frequency: Once per year
- Scheduling: Based on the move-in date of the most recent lease
- Scope: Interior condition, safety features, and exterior areas
- Reporting: Detailed report with photos, maintenance recommendations, and any compliance issues
This inspection is mandatory and cannot be waived.
No. Because Sagareus is responsible for screening and approving applicants, approvals cannot be contingent on owner review or consent. This policy is based on guidance from our legal counsel to ensure strict compliance with Fair Housing regulations.
Owners establish rental criteria in advance, and we apply those criteria consistently. Our screening process includes:
- Administrative Review: Documentation collection and completeness check
- AI Underwriting: Secondary analysis to confirm calculations and consistency
- Manager Review: Full application review with manual income and credit verification
- Final Approval: Leasing Manager makes the approval or decline decision
Owners are notified once a lease has been executed. Underwriting documentation available upon request.
All applications undergo a full background check, credit history review, and manual income and rental history verification. Owners choose their criteria level:
- Standard: 2.5x rent gross income, 650+ credit score (Recommended)
- Strict: 3x rent gross income, 650+ credit score
- Lenient: 2x rent gross income, 650+ credit score
Custom criteria may also be used per owner preference.
Owner Portal: 24/7 access to all property documents and financials, established at onboarding.
Resident Portal: Available via website or mobile app. Residents can pay rent, submit maintenance requests, obtain renters insurance, and view documents.
Owner distributions are sent monthly via electronic funds transfer (EFT), accompanied by four reports: the Rental Owner Statement, Income Statement, Rent Roll, and Bank Reconciliation.
Standard requests are submitted via the Resident Portal or email and processed within 24 hours. Emergencies are addressed immediately via our Emergency Maintenance Line.
Each property is assigned preferred vendors based on owner preference, then by our vetted vendor list. Repairs within the authorization amount proceed; anything above requires owner notification with options and recommendations.
Our objective is to lease all units within 30 days of going live. Key variables include:
- Property condition - Clean, well-maintained homes attract stronger applicants
- List price - The single biggest driver of leasing speed
- Pet policy - Allowing pets increases inquiry volume
- Screening criteria - Affects how quickly qualified applicants are approved
We actively monitor showing activity, inquiry volume, and application trends, adjusting pricing and strategy in real time.
Property owners choose their own pet policy. Sagareus recommends our standard policy: up to 2 pets, 30lb weight limit, $50/month pet rent.
The final decision is up to the property owner, and Sagareus enforces the chosen policy.
