Move Out Procedures
1: Provide Notice to Vacate + Forwarding Address
Please provide the required 20 days’ notice prior to your lease end date.

Example: If your lease ends on March 31, notice must be submitted by 5:00 PM on March 11.

You may submit your notice through either of the following methods:

Within your notice to vacate, please include your:

Intended move-out date

Forwarding address

Any special instructions for your security deposit return
- Example: If the deposit should be split between two roommates, please provide clear written instructions to avoid any confusion.

Once received, our team will confirm your notice and ensure your information is documented for a smooth move-out and refund process.
1a: Early Termination / Lease Break
If you are moving out prior to the end of your lease, please follow the same Notice to Vacate procedures outlined in Step 1.
Because you are ending your lease before the original expiration date, you are responsible for the following, per your lease agreement:

All rent due through the end of your lease term, or until a new tenant is secured, whichever comes first

An early termination fee equal to two months’ rent
Once your notice is received, our team will confirm next steps and provide a formal Lease Termination Agreement.
2: Move Out Inspection
A Sagareus Field Team member will contact you 1–2 weeks before your move-out date to:

Confirm your scheduled move-out

Install a secure key box at the property
-
Provide you with the key box code
-
When You Vacate the Property
-

Lock all doors
-
Place 1 front door key in the key box
-
Leave all other keys, garage remotes, key fobs, and mailbox keys in a kitchen drawer

The Field Team will complete your move-out inspection on the same day or the following day
-
Your presence is not required
-
Please note:

Vendors may begin turnover work as early as 8:00 AM the day after your move-out
-
Locks will be changed, and any remaining items will be removed and discarded
-
If you need additional time to move, notify your assigned Field Team member as soon as possible. Delays of more than 12 hours will result in prorated rent being added to your ledger.
4: Security Deposit Refund & Withholding
Our Accounting Team will process your final move-out statement and security deposit refund within three weeks of your move-out date.

The refund and itemized statement will be mailed to the forwarding address you provide.

If no forwarding address is provided, the check will be held at our office and can be picked up by appointment only.

How to Minimize Charges
To help protect your deposit, ensure the property is cleaned and restored to its original condition, less normal wear and tear:

The home must be fully cleaned to management’s satisfaction
-
All personal items and debris must be removed, including items left near dumpsters
-
All keys, mailbox keys, garage remotes, and fobs must be returned
-
Replacement fees will be deducted for any missing items
-
-
Any cleaning, repairs, or trash removal required by our team will be deducted from your deposit
-
Typical Deductions You May See

Professional carpet cleaning (standard at move-out)

Closing utility bills

Outstanding rent or balances

Repairs for damages beyond normal wear and tear

What Is “Normal Wear and Tear”?
Normal wear and tear refers to the expected deterioration of a home through ordinary use—not caused by neglect or abuse.

Dirty grout or aging caulking

Loose door handles, faucets, or toilet seats

Burnt-out light bulbs or appliance bulbs

Minor scuffs, scratches, or marks that were present at move-in

Left-behind items inside or near the unit/dumpster

Unauthorized alterations (including painting)

Large wall holes (e.g. from TVs, shelving, mirrors)

Broken or missing doors, locks, blinds, or fixtures

Stains or burns on flooring, countertops, or walls

Broken toilet seat, tank, or bowl

Dirty, damaged or missing appliances

Lost garage door remotes or mailbox keys
-
Pet damage (chewing, urine, feces, or lingering odors)
- Lingering Odors, often from unauthorized smoking indoors

If Charges Exceed the Security Deposit
Should cleaning, repair, or replacement charges exceed your security deposit, our Accounting Team will send a detailed statement outlining the balance due. Payment is expected within 30 days of the statement date.

Failure to pay will result in the outstanding balance being sent to 3rd party collections agency; Reported under the name of every adult listed on the lease.

If You Disagree with Security Deposit Deductions
If you believe the deductions from your security deposit are excessive or incorrect, please complete our Customer Service Form to request a review.
A Sagareus Manager will conduct a second review of:

Your Move-In and Move-Out inspection reports
-
Receipts and invoices for any repairs or services completed during turnover
-
You will receive a formal response with the findings within 72 business hours of the review.
